How To Create References

In this article, you will learn how to create references. References are specific fields that you create in Kyozou to appear on the product details page. You can use them for a) Internal purpose & b) Appear on your eBay and eCommerce listings.

Before we start…

Step 1 Make sure you are logged into your Kyozou account. You will see the Kyozou Home page once you are logged in.

Step 2 Locate INVENTORY in the navigation menu and choose Manage References from the drop-down list. 

Step 3  You will be navigated to the “Manage References” page. Click Create new reference  to create a new reference. (See the picture below)

1 Create References


1.1 Types Of References [Manage References page]

There are two types of references: Product details references and product references. The main difference between these two types of references are: Product details references are global references that appear on product details page. Product references are references, specific to Product ID. Think about them as of references, set for separate labels.


 

1.1.1 Product Details Reference [Global References]

Product Details references are also known as global references. This type of reference can be used for variation products if you select “variation-related” option. It will show up on ‘Manage References’ page and on ‘Product Details’ page plus you can use it in any Reference group. These fields will automatically show up on the Product Details page for any pre-existing product and any new product created. It can also be added to a Reference group to show on products that will use that reference group. They will also appear for variation items, if the variation check-box is enabled.

To make a Product Detail Reference, follow these steps:

  • Specify the type of Reference- Product Details (also, default) and enter a name for Reference. (See the picture below)i1
  • Required: You can check this box to make this new reference mandatory for every product. When you make a reference mandatory, it is necessary to fill that reference field in the product details or else you will get an error.
  • Variation-related: Check this box to make your reference a variation reference. You can these references later when you are creating a variation product. This option does NOT appear when using a default “Text Box” control type. It only appears as an option when selecting DropDown list or RadioButton list control type.
  • Control Type: Specify the type for this new reference. For ex: Text Box, Drop-down list or Radio  Button list. (See the picture below)
    • Text Box: Choose this option to enter values.
    • Drop Down: Choose this option to give your users a list of options.
    • Radio Button: Choose this option to give your users a set of options.

  • Click “Add value” to add values in your drop-down or radio button list. (See the picture below)

  • Click Create to successfully save your new reference.
  • Go to Inventory > Manage References to find the reference you created.

Note: Once you choose a product details reference for a group, that reference will not appear on the product details page until you choose the reference group to which the reference belongs.

Variation-related References:

It is necessary to have variation related references to create a variation item. To create one, follow the following instructions:

  • Select the reference type as “Product Details”.
  • Enter a name for this reference.
  • You can choose to make your reference “required” but it is mandatory to check “variation-related” option.
  • Variation-related: When you check this option, your reference becomes a Variation Reference. You can create these references later when you are creating a variation product. Please note that variation-related option only appears for Drop-down and Radio-button control types.
  • Choose a control type – drop-down list or radio-button list except Text Box.
  • Click “Create” to save your reference successfully.
  • When you have created a variation-related reference, it is going to have a variation tag attached at the top.
  • Go to Inventory > Manage References to find the reference you created.

Note: Variation related references will not appear on the product details page. You can attach them to a reference group and then use them for variation products. 


 

1.1.2 Product References

Product references are references, specific to Product#. They will not show up on the product details page as they are not global references but you can manage them through “Manage References” page.

To make a Product Reference, follow these steps:

  • Specify the type of Reference- Product and enter a name for Reference. (See the picture below)

Warning: You cannot create a Type- Product  as variation-related reference. You will get an error. This is because Product references are unique identifiers specific to Product#. 

  • Required: You can check this box to make this new reference mandatory for every product. Once you make a reference mandatory and once it appears on the product details page, you cannot save the product details page until this required reference field has been modified in some way.
  • Control Type: Specify the type for this new reference. For ex: Text Box, Drop-down list or Radio  Button list. (See the picture below)
    • Text Box: Choose this option to enter values.
    • Drop Down: Choose this option to give your users a list of options.
    • Radio Button: Choose this option to give your users a set of options.

  • Add value to this dropdown or radiobuttton list by clicking “Add value”. (See the picture below)

  • Click “Create” to successfully save your new reference.
  • Go to “Inventory > Manage References” to find the reference you created.

Note: This type of reference is not going to show on Product Details page. You can only see them in ‘Manage References’.

Warning: We do not have an option to select product references for the product like in the Kyozou 1.0. You can still find your product references in Manage References but they can’t be selected for the product as of yet.


 

2 Edit References


 

2.1 via Manage References

  • Find a reference by going to Inventory > Manage References.
  • Enter the name of your reference in the search field and click ‘Search’.
  • Click on the ‘Reference name’ to get navigated to the reference details page.
  • You can update Reference Name and Reference option “Required”. You cannot choose the other option “variation-related”.
  • Click “Update” button to save changes.

Warning: Reference Type and Control Type cannot be updated.


3 Modify Global References

  • You can find this option on Manage/Search Inventory page.
  • Go to Inventory > Manage/Search Inventory.
  • You can modify global references for multiple products, so search for all the products you want to modify references for. This is recommended when you want to update global references for multiple products at the same time.
  • Select the product(s) and look for the drop-down “Choose action” right above the search results. Click on that and select “Modify Global references”. (See the picture below)

  • A pop-up will appear. You will find that all the reference fields are empty. Fill/update these reference fields and click “Save”. (See the picture below)

  • Result: Global references for all the selected products will be updated.  Also, any information in these fields will be overwritten with the new value being entered.
  • You will also notice the link “Add new reference”. Click this to create a new reference. A pop-up will appear, if you are not already familiar with how to create a reference please click this Link to find more information about the fields in the pop-up.

 

4 Delete References

  • Go to Inventory > Manage References.
  • Search for the reference you want to delete.
  • On the right side of every reference you will find a delete icon.
  • Click this icon to delete a reference. (See the picture below)

Note: Once a reference is deleted, it is permanently gone.


You have successfully created references in Kyozou!!!!
